After finishing university I searched Cardiff's rental market for my first proper home — somewhere I could settle, feel proud of, call mine.

I felt the pressure every renter knows — sign quickly or lose it. So when I found somewhere that seemed right, I signed.

On moving day, the blanket that had been draped over the sofa during the viewing was gone. Underneath it was torn and filthy. The bed frame was broken. The mattress was old and uncomfortable. The drains smelled. The windows ran with condensation. The walls were damp.

To their credit, the landlord did eventually replace the sofa, the bed frame, and the mattress. But the process of getting issues acknowledged was slow, reluctant, and exhausting.

When I eventually moved out, the thing that stayed with me was not the frustration. It was the thought of the next person moving in — just as hopeful — with no idea what they were walking into.

I had information that could have helped them. There was nowhere to put it.

These Terms of Service govern your use of knowhouse.uk and any related services operated by KnowHouse Transparency Limited, a company registered in England and Wales. By accessing or using KnowHouse you agree to be bound by these terms. If you do not agree, do not use the platform.

1. About KnowHouse

KnowHouse is a property transparency platform that enables previous tenants to submit structured reviews of residential rental properties. The platform operates a contribute-to-unlock model — users must submit a review of a property they have previously rented in order to access reviews submitted by others.

2. Eligibility

You must be at least 18 years old to use KnowHouse. By using the platform you confirm that you are 18 or over and that any information you provide is accurate and based on your direct personal experience.

3. Review submissions

KnowHouse reviews are entirely structured — star ratings, predefined issue categories, and fixed-option factual questions. There are no freeform text fields. This means it is structurally impossible for a reviewer to name, describe, or otherwise identify any private individual through the review process.

By submitting a review you confirm that:

You retain ownership of the content you submit. By submitting a review you grant KnowHouse Transparency Limited a non-exclusive, royalty-free, perpetual licence to publish, display, and use your review on the platform and in aggregated data products.

4. Moderation

All reviews are subject to pre-publication moderation. KnowHouse Transparency Limited reserves the right to refuse publication of any review that, in our reasonable judgment, breaches these terms, contains defamatory material, identifies private individuals, or is otherwise unlawful. We may edit reviews for legal compliance before publication. We may remove published reviews at any time if we determine they breach these terms.

5. Defamation and legal compliance

KnowHouse uses a fully structured review format — star ratings and predefined categories only. There are no freeform text fields. This architecture means reviews cannot contain defamatory statements about identifiable individuals, as no mechanism exists to name or describe any person.

KnowHouse nonetheless operates in accordance with the Defamation Act 2013 and maintains a clear complaints procedure. If any party believes that a structured rating or selection is demonstrably false and damaging, they may notify us at [email protected]. We will investigate all complaints promptly and aim to respond within 48 hours.

KnowHouse Transparency Limited will cooperate with legitimate legal processes where required by law.

6. Disputes and complaints

If you are a landlord, letting agent, or property owner and believe a review about your property contains false or defamatory content, please contact us at [email protected] with the following information: the URL or address of the reviewed property, the specific content you believe is false or defamatory, and your contact details. We will acknowledge your complaint within 24 hours and aim to resolve it within 48 hours.

7. Prohibited conduct

You must not use KnowHouse to submit ratings you know to be false or misleading, submit reviews of properties you have not personally rented, attempt to manipulate or game the contribute-to-unlock system, submit multiple reviews of the same property, submit reviews on behalf of another person without their knowledge, or attempt to reverse-engineer, scrape, or copy the platform or its data without our written permission.

8. Intellectual property

The KnowHouse brand, platform design, KnowHouse Score methodology, and aggregated data products are the intellectual property of KnowHouse Transparency Limited. You may not reproduce, distribute, or commercially exploit any part of the platform without our written permission.

9. Disclaimer

Reviews published on KnowHouse represent the personal opinions and experiences of individual tenants. KnowHouse Transparency Limited does not verify the accuracy of every factual claim made in reviews beyond the moderation process described above. We make no warranties about the completeness, accuracy, or reliability of any review. You should use reviews as one source of information among many when making rental decisions.

10. Limitation of liability

To the maximum extent permitted by law, KnowHouse Transparency Limited shall not be liable for any loss or damage arising from your use of the platform, reliance on any review published on the platform, or any decision made on the basis of information provided by the platform. Our total liability to you in any circumstances shall not exceed £100.

11. Changes to these terms

We may update these Terms of Service at any time. We will notify registered users of material changes by email. Continued use of KnowHouse after changes are posted constitutes acceptance of the revised terms.

12. Governing law

These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Verification documents. If you choose to apply for a Verified Tenant badge, we collect a document showing your name and address at the reviewed property. This document is used solely to verify your tenancy and is permanently deleted once verification is complete. Only the verified status is retained — not the document itself.

Notification requests. If you request email notification when a property receives its first review, we collect your email address for this purpose only.

Usage data. We collect anonymised analytics data about how the platform is used — pages visited, search queries, and interaction patterns. This data does not identify individual users and is used solely to improve the platform.

We do not share, sell, or otherwise disclose verification documents to any third party under any circumstances.

By uploading a verification document you consent to this processing. You may withdraw your application at any time before verification is complete by contacting [email protected].
